How to Respond to a Negative Google Review (Restaurants)

In short: reply to a negative Google review calmly, specifically and politely, within a day or two. Never offer a discount to get it changed, and never buy positive reviews to bury it. The best way to reduce the problem is to give every guest a direct channel to tell you what went wrong, next to the public review link.

How to reply to a negative review

  1. Wait a few hours, then answer. A calm reply within a day or two beats an angry one sent on impulse.
  2. Thank the guest for the feedback and use their name if you know it.
  3. Acknowledge the specific problem. Not a generic apology: name the detail they raised.
  4. Say what you will do. A concrete fix, such as a revised kitchen shift or an extra check before dishes leave the pass.
  5. Invite them to continue in private. Leave a contact so the case can be solved outside the review thread.
  6. Do not post personal data about the guest or details of their booking.

A sample reply

"Thank you for writing, Marco. We are sorry about the wait on Saturday night: the service was not up to our standard. We have changed the floor rota for weekends. We would love the chance to earn back your trust, so please contact us at this address and we will take care of it."

When you can ask Google to remove a review

Google removes reviews that break its policies: offensive content, spam, reviews from people who were never customers, conflicts of interest, and off-topic content. A review being unfair is not enough on its own. You report it from your Google Business Profile and state exactly which rule it violates. A negative but genuine review stays online, and a professional reply is your best defence.

What not to do

  • Do not offer discounts or freebies to make the guest change their rating or delete the review. It is not allowed and can cause problems for your listing.
  • Do not buy positive reviews to "cover" a negative one.
  • Do not answer in a combative tone or publicly defend your staff against the guest.
  • Do not choose who you ask for a review. Ask every guest.

Give guests a direct channel: Real Time Feedback

Many unhappy guests write on Google because they do not know who to tell while they are still at the table. BoostWiFi adds a Real Time Feedback channel with the manager next to the public Google review link. It is open to everybody: nobody is filtered or redirected based on their rating, and every guest can always leave a review on Google. You receive the message in real time and can fix the problem while the guest is still in the room.

FAQ

Does one negative review really hurt a restaurant?

One review weighs little if you have many recent ones and answer with care. The more genuine reviews you collect, the less any single review moves your average. Try the Google reviews calculator to see how many you need to reach the average you want.

Should I reply to every review?

Whenever you can. Even a short reply to positive reviews shows you pay attention, and future guests read your answers too.

How do I collect more positive reviews the right way?

Ask every guest right after the experience, with a direct link or an NFC card. You can create the link and QR code for free with the Google review link generator.
